What Is Private Party Pizza Catering?
In plain terms, it means someone else handles the pizza at your party. Most companies around Austin work in one of three ways.
| Style | How it works | Good for | Keep in mind |
|---|---|---|---|
| Delivery or drop-off | Pizzas are baked at a shop and brought to you in boxes. | Casual parties, tight budgets, indoor parties | Pizza cools in the box. Big orders may need notice. |
| On-site baking | The caterer brings an oven to your party and bakes as guests eat. | Backyard parties, milestone birthdays, outdoor gatherings | Needs a flat spot and some space. Weather matters. |
| Hands-on class | A pizza maker teaches a small group to stretch and top their own pizza. | Small groups, friends, family time | Fits fewer people. It is an activity as much as a meal. |
Big Nick’s works the second way. We bring the oven to you and bake on the spot. You can read more on our mobile pizza catering page. We also teach hands-on pizza classes if that sounds closer to what you have in mind.
A friend asks what you are serving at your daughter’s birthday. You say pizza, because it is easy. Then you start doing the math. How many pizzas? Who picks them up? What if half the kids want plain cheese and half the parents want something spicy? And where do all those boxes go?
Private party pizza catering is meant to take most of that off your plate. This guide covers how it works in Austin, how much pizza you actually need, what to ask a caterer before you book, and a few things people often forget, like shade, parking and allergies. It applies to birthdays, graduations, backyard parties and other get-togethers at home or in a space you rent.
We are Big Nick’s Bakes Pizzeria, a small Austin pizzeria that bakes Neapolitan-style pizza at farmers markets and private events. We wrote this from what we see at parties, but most of it holds true no matter who you hire.

Birthdays are the most common reason people look for pizza catering. The planning shifts a bit depending on who is turning what.
Kids’ birthday parties
- Keep the menu simple. Most kids go for cheese or pepperoni first. A Margherita makes a good third choice, and a few adults will grab it too.
- Time the food around the fun.Hungry kids after a round of games eat better than kids who just arrived. Many hosts serve about 45 minutes to an hour in, then bring out the cake.
- Plan one to two slices per child.Teens eat more. We cover the numbers in the next section.
- Ask for smaller slices.Little hands do better with smaller pieces, and a caterer can usually cut them that way.
- Make an oven rule.Keep kids a few feet back from the oven. A table or a rope in front does the job.
Adult and milestone birthdays
A 30th, 40th or 60th usually means a longer evening and guests who graze for hours. Offer more variety, such as a few meat pies and a few vegetarian ones, and expect people to come back for seconds as the night goes on. Pizza pairs well with a salad and a few sides, and with drinks you pick yourself. The caterer handles the pizza, so you can talk to your guests.
A simple birthday planning timeline
| When | What to do |
|---|---|
| About 4 weeks out | Pick a date, estimate your headcount, and ask caterers for quotes. |
| About 2 weeks out | Confirm the menu, share any allergies, and check your space, parking and shade. |
| About 1 week out | Send the final headcount and any access notes, like gates or narrow driveways. |
| Party day | Clear a flat spot, set a serving time, and have one person ready to answer questions. |
Parties That Work Well With Pizza Catering
Almost any casual gathering works. These are the ones we hear about most, with a quick tip for each.
Birthday parties
Kids’ and adults’. Timing around cake matters most.
Graduation parties
Guests drift in and out, so plan for a longer serving window.
Backyard get-togethers
A nice stand-in for a barbecue when you do not want to man a grill.
Family reunions
Wide range of ages. Ask for a mix of plain and loaded pies.
Baby and bridal showers
Lighter appetites. Pizza often sits beside salad and dessert.
Anniversary and housewarming parties
Smaller groups, more time to talk. Relaxed pacing works.
Planning a company lunch instead? That runs a little differently. See corporate pizza catering. For weddings, see wedding pizza catering.
How Much Pizza Do You Need for a Party?
Most pizza guides use the same rule of thumb: about three slices per adult and one to two per child, based on standard 8-slice delivery pizzas. See this pizza calculator for one example. Use it as a starting point, then adjust.
| Guest | Slices when pizza is the main meal | If you serve sides or other food |
|---|---|---|
| Adults | About 3 | About 2 |
| Kids, ages 3 to 10 | 1 to 2 | About 1 |
| Teens and big eaters | 3 to 4 | About 3 |
A quick example. Twenty adults and ten kids is about 60 slices for the adults and 15 for the kids, so roughly 75 slices. With 8-slice pizzas, that is about ten pizzas.
Why it can change. Add more if the party runs three hours or more, if it falls at a mealtime, or if you have teenagers or athletes. Take away a little if you are serving salads, appetizers or a lot of other food.
A note on Neapolitan pizza. Our pizzas are usually smaller and lighter than the big delivery pies those rules are built on. That can mean more pies for the same crowd. If you are working with a Neapolitan-style caterer, ask them to do the conversion for you.
A rough guide by party size
| Guest count | Good for | How we plan it |
|---|---|---|
| 25 to 50 | Birthdays, graduation parties, backyard get-togethers | A simple menu and a quick setup. |
| 100 | Big family parties, reunions, neighborhood events | A fuller menu with planned serving times. |
| 200 | Large community or family celebrations | A larger setup and a clear timing plan. Please contact us early. |
What to Sort Out Before You Book
These are the details that most often get missed. A few minutes now saves stress later.
- Date and serving time.Tell the caterer when guests arrive and when you want to eat, not just the date.
- Headcount and ages.A rough number is fine. Say how many are kids, teens and adults.
- Your space.On-site baking needs a flat, open outdoor spot. If your yard is small, sloped or tight, send a photo.
- Access. Can a vehicle get close? Think about gates, gravel, narrow driveways and street parking.
- Shade and weather.Austin sun can be harsh and rain can show up fast. A shaded spot helps both the guests and the cook.
- Fire safety.Texas counties sometimes limit outdoor fires in dry weather. Ask how your caterer handles that.
- HOA or venue rules. Some neighborhoods and rental spaces limit outside vendors or open flames. Check first.
Questions to Ask Any Pizza Caterer
Whether you hire us or someone else, these questions help you compare quotes fairly.
- What exactly is included? Ask about plates, napkins, setup, cleanup and how many hours of service.
- Is there a minimum order or a travel fee for my address?
- How many pizzas, and what size, are you planning for my headcount?
- How do you handle allergies and vegetarian guests?
- What do you need from me, such as space, access or shade?
- What is your weather and burn-ban plan?
- How do deposits and cancellations work?
- Are you licensed and insured, and can you share proof if my venue asks?

Food Allergies and Diet Needs
Pizza dough contains wheat and the cheese contains milk, so pizza is not a safe fit for everyone. Tell your caterer about any allergies when you book, and let guests with allergies know what is being served. For general guidance, see the FDA guide to food allergies. For vegetarian guests, most pizzerias, including us, offer meatless pies such as Margherita, cheese and white mushroom.
Do You Need a Permit for a Private Party?
For a private party at your home, usually not. Rules change when an event is open to the public, advertised or sold with tickets. In Austin, that type of event can need a Temporary Food Event permit. Parks, HOAs and venues may have their own rules, so ask them directly. This is general information, not legal advice.

About Our Pizza
If you are weighing caterers, it helps to know how the pizza is made. Our dough is cold-fermented for 48 hours, which gives a crust that is light inside and crisp outside. The red sauce starts with San Marzano tomatoes, and we buy what we can from local farmers markets. For parties, the most popular pies are cheese, pepperoni and Margherita, with sausage and white mushroom for the adults. Garlic knots and cinnamon sticks tend to disappear fast too.
You can read more about our handmade pizza dough, our wood-fired pizza and our handmade pizza. If you want to taste before you book, we are at Austin farmers markets. Check our locations page for where we will be.

Private Party Pizza Catering Austin: Questions and Answers
How much does private party pizza catering cost in Austin, TX?
It depends on your guest count, the menu, where the party is, how far we travel and how long we serve. Send us the basics and we will give you a clear quote.
How far ahead should I book pizza catering for a birthday party?
As soon as you have a date and a place. Weekend dates tend to go first, so even a rough date is worth sending early.
How much pizza do I need for a kids’ birthday party?
A common rule is one to two slices per child and about three per adult when pizza is the main meal. Neapolitan pies are usually smaller than delivery pizzas, so tell us your headcount and we will do the math with you.
Can you cater a party at my home or in a park?
We can come to a home with a flat outdoor spot for the oven. Parks often have their own rules about vendors and open fires, so check with the park first and tell us what they say.
What happens if it rains?
Tell us about any covered space you have, like a patio or a garage opening, and we will talk through a backup plan when you book.
Do you have kid-friendly pizzas?
Yes. Cheese and pepperoni are the usual favorites with kids, and the Margherita is a good third choice. We can also cut slices smaller for little ones.
How do you handle food allergies?
Our pizza is made with wheat dough and cheese, so it contains wheat and milk. If anyone at your party has a food allergy, tell us when you book so we can plan with you. Learn more from the FDA.
Is private party catering different from your corporate or wedding catering?
The oven and the pizza are the same. The planning is different. Parties are usually more relaxed about timing, with more kids and more mixed appetites, while weddings and company events run on tighter schedules.
